Leads

Every lead in your CRM lives on the Leads tab. It is the one screen your team will open more than any other. Learn how it works and you spend less time hunting for parents and more time actually talking to them.

The Leads tab is a spreadsheet with superpowers. You can slice it, filter it, save the slice, or flip the whole thing into a Kanban and drag people through your pipeline.

Table vs. Board: two ways to look at the same list

Same leads, same data, two ways of seeing them. Click Edit view in the top right and pick Table or Board. Tap the tabs below to feel the difference.

Rule of thumb: Table when you need to scan a lot of leads or export them. Board when you want to see where your pipeline is thin (only one lead in Tour Scheduled? Time to book more tours).

Add properties: make the table show what you actually care about

Every column in the Table view is a property. Same for the little chips on each Board card. You control which ones show up. Click Edit view, then Add property, then pick from the dropdown.

Deleting a property from a view does not delete the property itself, just hides it from that view. You can also drag properties to reorder the columns.

Filter the table (and save the filter as a list)

Filters answer questions like "who's been sitting in Contacted for two weeks?" or "which leads came from Instagram in the last month?" You build a filter with Add condition, and if the answer is useful more than once, you save it as a view (Playground also calls these saved lists) and it lives in the dropdown next to Edit view.

The two saved views almost every school builds. New leads this week so the front desk knows who to reach out to, and Waitlist so you can see who's waiting the moment a spot opens up. Saved views are the single biggest time-saver on this page.

The lead profile: everything you need on one screen

Click a lead's name from the Table or Board and the profile opens. History on the left (calls, emails, SMS, notes, form submissions). Details, guardians, and students on the right. Every field is click-to-edit and saves automatically.

Click any field to edit it. Changes save automatically.

From the profile you can call, text, or email the parent directly. The Actions dropdown in the top right is also where you find View attachments, which shows every file the family has uploaded (or that your team has uploaded on their behalf).

Adding a lead

Two ways in: a parent fills out a form (covered in the next chapter), or someone on your team adds them manually. Manual is for the phone call that came in, the family you met at an open house, the referral from another parent. Click the blue Add lead button top-right, fill in guardian and student details, pick the right stage, and save.

If you're adding a family who just called to ask about hours, they're New. If they're calling to schedule a tour, jump them straight to Tour Scheduled. The stage you pick decides which automations fire.
Click the small + Add button next to Guardians or Students to add more. Divorced parents, siblings applying together, grandparent as secondary contact, all handled here.
Anything you set up in Chapter 1 (Settings) appears in the Add lead form. If you asked for it, you can capture it here.

Editing leads (one at a time, or in bulk)

One at a time: open the profile, click any field, type, done. The change saves the moment you click away.

In bulk: from the Table view, check the boxes next to multiple leads and a toolbar appears at the top. From here you can change stage, enroll in an automation, or delete. This is how you handle the "twelve families never showed up to their tours, move them all to Not Interested" scenario in about six seconds.

Check some leads below. The bulk action toolbar appears here.

Export, when you actually need a spreadsheet

Sometimes you need the data outside the CRM. Board meeting, marketing agency, whatever. Click the download icon in the top-right of the Leads table, pick which columns to include, and it downloads as a CSV.

Export respects your current view. If you filtered to New leads this weekbefore you clicked download, you'll get exactly that. Handy for weekly reports.

Bottom line

Two views, filters, saved views, one profile screen with click-to-edit. That is the whole Leads tab. Once you know where the Edit view button is and how saved views work, everything else is muscle memory.
